Privacy Policy

Last updated: April 14, 2026

DRAFT — Review with qualified counsel before use. Not legal advice.

This Privacy Policy explains how RentMicKits, LLC (“RentMicKits,” “we,” “us,” or “our”) collects, uses, shares, and protects information about you when you visit rentmickits.com (the “Site”), place a rental order, or otherwise interact with our services. We’ve tried to write this in plain English because we think you deserve to understand what happens to your data.

1. Who We Are

RentMicKits, LLC is a limited liability company based in the United States that rents wireless microphone kits to customers nationwide. Our principal contact for privacy questions is privacy@rentmickits.com.

2. What Information We Collect

2.1. Information You Give Us

When you create an account, place a rental, or contact us, we collect:

  • Account information: name, email address, phone number, and password (stored hashed and salted).
  • Organization information: organization name, role, and billing contact (for schools, houses of worship, theaters, and businesses).
  • Shipping information: shipping addresses, venue names, contact person at delivery address, delivery instructions.
  • Order information: rental dates, MicKit product selected, quantities, event details you voluntarily provide.
  • Payment information: credit or debit card details are collected and processed directly by Stripe. We never see or store your full card number. We receive only a token and limited metadata (last four digits, card brand, expiration month/year, ZIP).
  • Identity verification information: in some cases we use Stripe Identity to verify the identity of renters. Stripe Identity may collect a government-issued ID and a selfie; this data is held by Stripe under its own privacy policy, and we receive only a pass/fail verification result and basic metadata.
  • Certificates of Insurance: if you upload a COI to waive the security deposit, we store the document for the duration of the rental and any applicable retention period.
  • Communications: messages you send us via email, contact forms, SMS, or chat, and our responses.

2.2. Information We Collect Automatically

When you visit the Site, we (or our analytics provider) may collect:

  • Device and browser information: browser type, operating system, approximate screen size, and language.
  • Usage information: pages viewed, referrer, time on page, and general location derived from IP address (city/region level).
  • Analytics events: aggregated, privacy-respecting analytics through Plausible Analytics (cookieless by default) or, where applicable, Google Analytics 4 configured with IP anonymization.

We prefer cookieless analytics and try to minimize tracking. Where cookies are used, we’ll provide a cookie notice and, where required, obtain consent.

2.3. Information From Third Parties

We may receive information from:

  • Stripe (payment and identity verification results),
  • Shipping providers (EasyPost and/or Shippo), for label generation, tracking events, and address validation,
  • Email and SMS providers (Postmark for transactional email, Twilio for SMS), for delivery status, and
  • Fraud prevention tools built into Stripe Radar.

3. How We Use Your Information

We use your information to:

  • fulfill your rental orders and deliver equipment to the venue you specify;
  • communicate with you about orders, including shipping updates, return reminders, and damage or late-return notices;
  • process payments, authorization holds, and refunds through Stripe;
  • verify identity where required to prevent fraud;
  • provide customer support and respond to your inquiries;
  • send transactional emails (order confirmations, shipping updates, receipts);
  • send marketing emails if you’ve opted in, and let you unsubscribe at any time;
  • detect, investigate, and prevent fraud, abuse, chargebacks, and security incidents;
  • comply with legal obligations, including tax recordkeeping and responses to valid legal process;
  • improve the Site, product offerings, and customer experience; and
  • enforce our Terms of Service and Equipment Rental Agreement.

We do not sell your personal information. We do not share your personal information with third parties for their independent direct marketing purposes.

If you are in the European Economic Area, United Kingdom, or Switzerland, we rely on the following legal bases to process your personal data:

  • Performance of a contract: to fulfill your rental, process payment, and provide customer support.
  • Legitimate interests: to prevent fraud, secure the Site, improve our services, and conduct analytics, balanced against your rights.
  • Legal obligation: to comply with tax, consumer protection, and other applicable laws.
  • Consent: where required, for example for certain marketing communications, which you may withdraw at any time.

5. Who We Share Information With

We share personal information only as described below:

  • Stripe — payment processing and identity verification. Stripe acts as an independent data controller for payment data and as a processor for some other data.
  • EasyPost / Shippo — shipping label generation, rate calculation, and tracking.
  • UPS / FedEx and other carriers — for delivery and return shipping (carriers receive the shipping address and recipient name).
  • Postmark — transactional email delivery (order confirmations, shipping notices, return reminders).
  • Twilio — SMS notifications (order status, pickup reminders, return reminders).
  • Plausible Analytics and/or Google Analytics 4 — aggregated website analytics.
  • Cloud infrastructure providers — hosting, backups, and storage under standard data-processing terms.
  • Professional advisors — accountants, auditors, and attorneys under confidentiality obligations.
  • Law enforcement or regulators — only in response to a valid subpoena, court order, or other lawful request, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers — if RentMicKits is involved in a merger, acquisition, financing, or sale of assets, information may be transferred to the successor entity subject to this Privacy Policy.

We do not sell or share personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act as amended (CCPA/CPRA).

6. Data Retention

We retain information only as long as necessary for the purposes described in this Policy and to comply with our legal obligations.

  • Rental records (orders, invoices, agreements, shipping documentation): seven (7) years to comply with tax and accounting requirements.
  • Account information: until you close your account, plus a reasonable retention window for dispute resolution and fraud prevention.
  • Identity verification pass/fail records: retained for the duration of the account and any applicable statute of limitations; underlying ID documents are held by Stripe Identity per its own policies.
  • Marketing subscription data: until you unsubscribe, plus a short suppression record so we don’t email you again by mistake.
  • Analytics data: aggregated and de-identified; retained per the analytics provider’s defaults.
  • Support communications: up to three (3) years from last contact.

When retention periods expire, we delete or de-identify the data.

7. Your Rights

7.1. California Residents (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know what personal information we collect, use, disclose, and (if applicable) sell or share, and to request access to specific pieces.
  • Delete the personal information we hold about you, subject to legal exceptions such as completing a rental, meeting tax obligations, or detecting fraud.
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of personal information for cross-context behavioral advertising — RentMicKits does not sell or share your personal information, so there is nothing to opt out of, but we honor this right.
  • Limit use of sensitive personal information.
  • Be free from retaliation for exercising your rights. We will not deny service, charge different prices, or provide a different quality of service because you exercised a CCPA right.

To exercise these rights, email privacy@rentmickits.com from the email address associated with your account or use the request form at rentmickits.com/privacy. We will verify your identity before responding.

7.2. Residents of the EEA, UK, and Switzerland (GDPR)

If GDPR or equivalent legislation applies to you, you also have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate data;
  • Erasure (the “right to be forgotten”), subject to legal exceptions;
  • Restrict or object to certain processing;
  • Data portability (receive a copy of your data in a structured, machine-readable format);
  • Withdraw consent at any time where processing is based on consent; and
  • Lodge a complaint with your local supervisory authority.

8. Cookies and Tracking

We use minimal cookies. Where possible, we use cookieless analytics. The cookies we may use fall into these categories:

  • Strictly necessary cookies that enable core functionality (login, checkout, cart).
  • Functional cookies that remember preferences like language and region.
  • Analytics that help us understand site usage in aggregate.

We do not use third-party advertising or retargeting cookies. Where required by law, we will display a cookie notice and obtain consent.

You can manage cookies through your browser settings. Disabling strictly necessary cookies may break parts of the Site.

9. Children’s Privacy

The Site is not directed at children under the age of thirteen (13), and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to us, please contact privacy@rentmickits.com and we will delete it.

For schools renting on behalf of students: we collect information about the adult account holder only, not about students.

10. Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including TLS encryption in transit, encrypted storage at rest, access controls, and use of PCI-compliant payment processing via Stripe. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

If we become aware of a data breach that affects your personal information, we will notify affected individuals and regulators as required by applicable law.

11. International Data Transfers

We are based in the United States, and our service providers may process data in the United States or other countries. If you are located outside the United States, your information may be transferred to and processed in countries whose data protection laws may differ from those of your country. Where required, we rely on Standard Contractual Clauses or other lawful transfer mechanisms.

12. Do Not Track

Our Site does not currently respond to “Do Not Track” browser signals in a standardized way, but we already minimize tracking by default.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date below and, for material changes, provide prominent notice on the Site or by email. Your continued use of the Site after an update means you accept the revised Policy.
